Version: 1.0
- By accessing or using the CapiPlan’s services, you agree to these Terms & Conditions.
- If you do not agree with these terms, please do not use our website or services.
- We may update these terms from time to time, and the updated version will be published on this page.
- CapiPlan provides cloud-based accounting and business management software and related services.
- You must use our website and services only for lawful business purposes.
- You must not misuse, damage, disrupt, or attempt to gain unauthorised access to our website or systems.
- You are responsible for ensuring that your use of CapiPlan complies with applicable laws and regulations.
- Some CapiPlan services may require you to create an account.
- You are responsible for providing accurate and up-to-date information.
- You are responsible for keeping your login details secure.
- You are responsible for activity carried out through your account.
- Please contact us promptly if you believe your account has been accessed without your permission.
- CapiPlan offers a free plan and paid subscription plans. The features, user limits, billing period (monthly or annual) and price of each plan are shown on our pricing page and confirmed before purchase.
- Prices are in pounds sterling and exclude VAT, which is added at the rate applicable at the time of invoice.
- Paid subscriptions are billed in advance for the billing period you select. Payment is taken by card on the subscription start date and on each renewal date, and you authorise us to charge your chosen payment method for all fees due.
- Payment Invoices are available in your account.
- Paid subscriptions renew automatically for a further period equal to your current billing period (one month for monthly plans, one year for annual plans) unless you cancel before the renewal date.
- The customer will receive the first reminder 14 days before their subscription expires, followed by a second reminder after the subscription has expired. A final reminder will be sent 10–15 days after the subscription expiry date. If the customer fails to renew their subscription after the final reminder, their subscription will be cancelled.
You can cancel at any time through your account settings or by emailing info@capiplan.co.uk. Cancellation takes effect at the end of the current paid billing period, and you will retain access to paid features until then.
- Monthly plans: fees already paid are not refundable, except where required by law or where we have materially failed to provide the service.
- Nothing in this section affects your statutory rights as a consumer where they apply.
- If you upgrade during a billing period, you pay the price difference for the rest of that period on a pro rata basis.
- A downgrade takes effect at the next renewal date and may reduce your available features and limits. Unused allocations do not carry over.
- We may change subscription prices. We will give you at least 30 days’ written notice before a change takes effect, and you may cancel before it applies.
- The free plan and any trial may have feature and usage limits. If a trial converts to a paid plan, we will tell you the trial length, the price and the conversion date before you start, and we will not charge you without your agreement.

- Services may be affected by maintenance, internet failures, technical problems or events beyond CapiPlan’s control.
- Certain features depend on third-party services, systems, and APIs that CapiPlan does not control.
- Changes, outages, or interruptions to these third-party services may affect the availability or functionality of connected features.
- CapiPlan will communicate major disruptions where appropriate.
- Customers remain responsible for meeting tax deadlines and checking that submissions have been completed successfully, even during service interruptions.
- You can export your business and financial records at any time using the export features in your account.

- You can also withdraw CapiPlan’s authorisation through the relevant third-party account.
- Once access is withdrawn or revoked, we stop making requests to the third-party service on your behalf.
- Revoking or disconnecting third-party access does not automatically delete related data already stored in your account, such as obligations, liabilities, payments, returns, and submission records. This allows you to retain your records.
- Some records, including financial and accounting records and third-party submission records, may need to be retained for the statutory period, which is six years where required by law.
- You can close your account at any time from your account settings.
- On closure, any paid subscription ends in line with Section 4, and we disconnect third-party integrations and delete the relevant access tokens.
- After closure, your data remains available for export for 30 days. We then delete or anonymise it after 30 days, except for records we must keep by law.
- How we handle personal data is described in our Privacy Policy at https://capiplan.co.uk/privacy-policy/. If it conflicts with these Terms on that subject, the Privacy Policy applies.
